PopUpMob’s project-management and design teams took part in Light School sessions in April and May. A July follow-up shows what happened beyond the introduction: staff had continued adapting tools around project setup and team capacity.
What changed during the training
Project setup extended into Slack
A participant described refining the Google Drive folder automation made during training. Working with Claude, they had added a Google Apps Script and a Slack bot so project channels could include the Drive folder and design-request controls. They shared their screen to explain the workflow.
Evidence: July 15, 03:31–07:32. Sharing the script with a colleague still needed setup. Automatically filling a project-overview canvas was a planned extension.
A workload dashboard the team could open
The follow-up included a screen-shared workload analyser covering projects, roles, location and dates. The team confirmed it was already deployed behind a password. It gave them a concrete interface to review and improve, rather than a dashboard idea alone.
Evidence: July 15, 09:03–15:55. Its Q3 data had been imported manually; a connection to the main project sheet was still pending.
A useful boundary for the next iteration
The coaching focused on checking that the dashboard reflected people’s actual workload and on adding a dependable source of project data. The next step was to validate the figures with the team, not to treat an estimated capacity percentage as a complete picture.
Evidence: July follow-up, discussion from 10:46 and 20:39.
What came next
The evidence spans training and subsequent team work. It does not mean every tool was built in one day. The dashboard still needed live source data and validation; the recording does not establish measured time savings or company-wide adoption.
