A hotel team has to turn reservation details, guest requests, payments and messages into decisions every day. During Light School training, Diplomat Collective staff worked on those recurring tasks and demonstrated their progress to colleagues.

What changed during the training

An arrivals report for the morning handover

A participant showed a daily report assembled from arrival details and reservation notes. It brought together VIP arrivals, room allocation and a checklist of actions for reception and other departments. The result was a clearer handover document built around the information the hotel already used.

Evidence: Demonstrated at 2:06:42–2:08:29. Daily delivery was intended for 6am; the weekly report still needed finishing.

An email queue with drafts and next actions

Another participant showed a workflow that brought important and unread messages into a review queue, with drafts, forwarding and a completed list. It made the next action easier to see before someone handled the message.

Evidence: Demonstrated from 2:15:57. This was a workshop workflow, not a measured reduction in response time.

Matching payments to the hotel report

A participant demonstrated matching payment information from emails against a hotel-system report to identify outstanding items. This replaced the idea of searching each source independently with a reconciliation view that could be checked.

Evidence: Demonstrated from 2:20:59. Figures and matches still needed human checking.

A shared commercial scorecard

The team also showed a monthly commercial scorecard. The useful first step was bringing the reporting structure together; consistent source data was still needed before treating it as an automated reporting system.

Evidence: Demonstrated from 2:09:47.

What still needed work

A scheduling prototype still produced incorrect numbers. Review reporting relied on imported reports, and some recurring reports were unfinished. The session established usable starting points, not a verified hotel-wide productivity increase.
